Vanderbilt Heart and Vascular Institute's General Cardiology Department is seeking a Patient Service Specialist to provide excellent service to patients pre-appointment, during their visit, and post-appointment. The role involves managing inbound/outbound phone calls, appointment scheduling, insurance updates, cash handling, patient check-in/check-out, and coordinating services for complex patients, including scheduling multiple services or collaborating with external providers.

key-responsibilities

  • Conduct patient check-in and check-out procedures.
  • Coordinate follow-up appointments or procedures as needed.
  • Schedule appointments, procedures, or surgeries through clinical communication or direct requests.
  • Provide exceptional customer service, creating a positive first impression for patients.
  • Work with patients and/or outside facilities to ensure all necessary administrative tasks, including referrals, pre-certifications, clinical records, orders, and consults, are prepared ahead of patient visits.
  • Additional responsibilities may be assigned as required.

  • Customer Service (Intermediate): Focus on understanding customer needs, anticipating requirements, and providing sensitive service.
  • Patient Scheduling (Novice): Ability to coordinate patient appointments, surgeries, and other visits using various hospital or clinic systems.
  • Patient Documentation (Novice): Ability to record and manage patient information accurately.
  • Medical Terminology & Documentation (Novice): Understand medical terminology and documentation in clinical or surgical settings.
  • Surgery Scheduling (Fundamental Awareness): Coordinate and schedule surgeries using hospital systems.
