Vendor Manager - Innovaderm (Canada)

Overview
The Vendor Manager (VM) at Innovaderm is responsible for overseeing and managing project supplier and vendor scope, timelines, and costs throughout the project lifecycle, from start-up to closeout. The VM ensures operational and financial oversight of vendors, manages risks and issues, and acts as the main point of contact for vendors, working closely with the global project team to ensure the quality and timely delivery of vendor services.


Responsibilities

Vendor Oversight and Management

  • Oversee study-specific vendors throughout all phases of the project (start-up, conduct, and closeout).
  • Review vendor contracts to ensure alignment with study requirements and manage contract compliance.
  • Prepare change orders for out-of-scope services (e.g., renewals, prolongations, new services) for ongoing studies.
  • Manage the project budget, scope, and timelines in partnership with the Project Manager.
  • Collaborate with Innovaderm Subject Matter Experts (SMEs) to clarify vendor specifications and expectations.
  • Develop and maintain the Vendor Management Plan in collaboration with stakeholders.
  • Lead vendor meetings and participate in internal and client-facing project meetings.
  • Monitor vendor performance and conduct quality assessments, including managing non-conformance and corrective actions (CAPAs).
  • Manage the resolution of vendor, project team, and sponsor complaints and escalations.
  • Maintain service controls by applying lessons learned and ensuring vendors meet project standards.

Financial and Risk Management

  • Review and verify vendor invoices to ensure they align with the work orders and change orders.
  • Manage vendor technological systems related to shipment, inventory, and supply tracking.
  • Perform risk management activities and work with business units to resolve issues with vendors.
  • Analyze discrepancies between planned and actual results and develop corrective actions.
  • Monitor and report project-specific Key Performance Indicators (KPIs) related to vendor performance.

Documentation and Compliance

  • Ensure the timely filing of vendor-related documents in the study’s electronic Trial Master File (eTMF).
  • Participate in functional and corporate initiatives, and support business development opportunities such as strategy and bid defense meetings.
  • Assist with the identification and assessment of new vendors for qualification.

Ideal Profile

Education

  • Bachelor’s degree in science or a relevant field of study.

Experience

  • Minimum 3 years of experience in clinical research and the biotechnology, pharmaceutical, and/or CRO industry.
  • Project management experience; PMP Certification is an asset.
  • Knowledge of Good Clinical Practices (GCP), Health Canada, FDA regulations, and EU pharmaceutical legislation (CTR).
  • Dermatology, aesthetics, or rheumatology experience is a plus.

  • Negotiation: Strong negotiation and conflict management skills, advocating for the best interests of Innovaderm and clients.
  • Risk Management: Ability to identify and mitigate project risks.
  • Technical and Digital Aptitude: Proficiency in business platforms for capturing business intelligence.
  • Data Management and Analytics: Strong problem-solving and analytical skills, with the ability to interpret and analyze data, including KPIs.

Work Location

The successful candidate may work from home anywhere in Canada or from our headquarters in Montreal, as per company policies and public health guidelines. Occasional visits to Montreal may be required.
