Job Overview

Parexel is seeking a highly organized and proactive Program Coordinator to support medical communications projects across global accounts. This role plays a critical part in ensuring the successful delivery of projects by providing end-to-end coordination, financial tracking, documentation management, and stakeholder support within agreed timelines and budgets.

The position is well suited for professionals with strong project coordination experience, excellent communication skills, and prior exposure to medical communications or life sciences environments. The role offers flexibility with remote working options across India while collaborating with cross-functional global teams.


Key Responsibilities

Project & Account Support

  • Provide operational and administrative support to account and project teams to ensure timely and high-quality project delivery.

  • Set up and maintain accurate project data across internal and client-facing tracking tools.

  • Prepare project initiation materials, including job sheets, project codes, timelines, and tracking documents.

  • Develop, maintain, and circulate project status reports to internal teams, studios, and external stakeholders.

  • Coordinate project kick-off activities and ensure adherence to naming conventions, documentation standards, and workflows.

Financial & Vendor Coordination

  • Raise and track purchase orders for external vendors and independent contractors in line with internal approval processes.

  • Support financial tracking including hours reporting, invoice schedules, reconciliations, budget revisions, and variance analysis.

  • Maintain detailed financial histories for projects and flag anomalies to management.

Medical Communications & Publications Support

  • Coordinate abstract and manuscript submissions, including gathering submission requirements and completing online submissions.

  • Format documents and presentations according to journal, client, and internal style guides.

  • Insert and manage Reference Manager citations and maintain reference databases.

  • Order journal articles and library references and maintain electronic and paper archives.

  • Assist with quality control checks, fact-checking, and document reviews.

Stakeholder & Meeting Management

  • Schedule and coordinate internal, client, author, and KOL meetings, teleconferences, and workshops.

  • Prepare agendas, presentation materials, minutes of meetings, and follow-up actions.

  • Manage access permissions, approvals workflows, and publication tracking systems such as Datavision and PubStrat.

Team & Operational Support

  • Support onboarding and induction programs for new team members.

  • Assist with training on tools, systems, and internal processes.

  • Organize travel, accommodation, and logistics for client visits and off-site meetings.

  • Maintain structured filing systems and ensure compliance with archiving policies.

  • Proactively identify risks, workload constraints, and project issues, escalating them with recommended solutions.


Required Skills and Experience

  • 3–6 years of experience in project coordination, program support, or operations roles, preferably within medical communications, healthcare, life sciences, or agency environments.

  • Strong proficiency in Microsoft Word, PowerPoint, Excel, and Outlook (advanced level).

  • Working knowledge of Reference Manager and database systems (e.g., Access) preferred.

  • Proven ability to manage multiple projects simultaneously while meeting strict deadlines.

  • Strong organizational, documentation, and financial tracking skills.

  • Excellent written and verbal communication skills in English.

  • High attention to detail, accuracy, and confidentiality handling.

  • Ability to work independently, prioritize tasks effectively, and collaborate across global teams.


Preferred Qualifications

  • Bachelor’s degree in Life Sciences, Business Administration, Marketing, Communications, or a related field.

  • Prior experience within a medical communications, pharmaceutical, CRO, or healthcare consulting environment is an advantage.
