Job Overview

Zealie is seeking a detail-oriented Medical Records Audit Specialist to support its growing behavioral healthcare medical billing operations. This role is critical in ensuring the accuracy, completeness, and regulatory compliance of medical records submitted to payers. The position involves auditing patient documentation across multiple EMR systems, validating billing and authorization data, and collaborating with internal teams and insurance providers to support timely and compliant reimbursement.

This opportunity is ideal for professionals with experience in medical records auditing, EHR systems, payer documentation, and revenue cycle management, particularly within behavioral health, substance abuse, or mental health treatment settings.


Key Responsibilities

Medical Records Review & Audit

  • Ensure complete and timely retrieval and submission of medical records to payers

  • Review documentation for medical necessity across payer requirements

  • Audit demographic, insurance, and billing information for accuracy prior to submission

  • Cross-reference billing and authorization systems to validate claim readiness

EMR & Documentation Management

  • Utilize multiple EMR/EHR platforms to gather, review, and organize medical records

  • Maintain accurate and well-organized patient files in electronic systems

  • Scan, review, and quality-check medical records to ensure compliance and completeness

Payer & Stakeholder Coordination

  • Follow up with payers to confirm receipt of medical records

  • Communicate with insurance carriers to resolve documentation-related issues

  • Maintain detailed and accurate account notes within internal systems (e.g., Zealie Zion)

Compliance & Confidentiality

  • Ensure strict adherence to HIPAA and patient privacy regulations

  • Safeguard all patient health information and maintain confidentiality at all times

  • Support audit readiness and regulatory compliance initiatives

Additional Support Functions

  • Assist with claims follow-up and related revenue cycle activities as required

  • Provide professional customer service to internal and external stakeholders


Required Qualifications & Skills

  • Strong attention to detail and organizational skills

  • Hands-on experience with EHR/EMR systems and medical documentation workflows

  • Solid understanding of medical terminology, payer requirements, and healthcare regulations

  • Experience working with payer portals and insurance documentation

  • Knowledge of revenue cycle management (RCM) processes

  • Proficiency in record scanning, auditing, and documentation review

  • Strong written and verbal communication skills

  • Ability to handle sensitive patient information with discretion and professionalism


Education & Experience Requirements

Education:

  • High School Diploma or equivalent (required)

  • Associate’s degree in Health Information Management or a related field (preferred)

Experience:

  • 2–5 years of experience in medical records auditing, EHR management, or medical billing

  • Prior experience in behavioral health billing is strongly preferred

  • Familiarity with substance abuse and mental health treatment documentation is an advantage
