Main Responsibilities

  • Provide administrative support for project initiation, including creating and maintaining project files and managing systems access requests.
  • Handle project administration tasks such as generating labels from investigator lists, maintaining personal safety files and regulatory documents, tracking submission dossiers, and distributing information to clients and operations team members.
  • Develop project tracking spreadsheets and related specifications for data entry.
  • Prepare graphics and data visualizations as needed.
  • Offer ad-hoc support for document translation requirements.
  • Create, maintain, and track case folders, ensuring proper filing, retrieval, and distribution to operations team members, as well as archiving case folders and project files after project completion.
  • Coordinate administrative support by organizing team meetings, managing stationery orders, dispatching documents via courier, and reserving meeting rooms and IT equipment.
  • Conduct ad-hoc database searches for operations team leads and assist in database validation through user testing.
  • Support project phone line setup as needed.
  • Triaging call center inquiries for escalation to senior associates.
  • Assist with project workflows, including database entry, quality control activities, generating Lifecycle Safety data reports, preparing Lifecycle Safety submission dossiers, and ensuring compliance with deadlines and quality standards.

Minimum Required Education and Experience

  • High School Diploma or equivalent.
  • Proficient written and verbal communication skills in English, German, and French (minimum C1 level in all).
  • Strong working knowledge of Microsoft Office and web-based applications, particularly Excel.
  • Ability to utilize advanced Excel functions for manipulating and analyzing large datasets and creating dashboards/reports that yield actionable insights.
  • Experience collaborating with call center agents and customers over the phone.
  • Excellent organizational and time management skills.
  • Familiarity with medical terminology is a plus.
