The Investigator Payments Coordinator is a specialized clinical finance role responsible for managing and processing payments to clinical trial investigators and research sites. This position ensures accurate, compliant, and timely financial transactions in alignment with Clinical Trial Agreements (CTAs), study budgets, and organizational policies.

Role Overview

The Investigator Payments Coordinator supports global clinical trials by overseeing investigator payment workflows, invoice verification, reconciliation processes, and financial reporting. The role requires close collaboration with Clinical Operations, Project Management, Contracts & Budgets teams, and Finance departments to maintain transparency and compliance in site compensation processes.

Accurate investigator payments are critical for maintaining strong site relationships, regulatory compliance, and operational efficiency in clinical development programs.

Key Responsibilities

  • Coordinate and process investigator and site payments in accordance with Clinical Trial Agreements and approved budgets

  • Review invoices for accuracy, completeness, and contractual alignment before payment release

  • Resolve payment-related discrepancies and queries in collaboration with clinical and finance teams

  • Maintain detailed financial records and documentation to support audits and inspections

  • Track payment milestones and provide regular status updates to project stakeholders

  • Ensure compliance with internal financial controls, SOPs, and regulatory standards

  • Support the optimization and automation of investigator payment processes

  • Communicate proactively with investigators and sites regarding payment procedures and timelines

  • Assist in financial reporting and reconciliation activities across multiple studies

Required Experience

  • Minimum 2 years of experience in financial coordination, accounts payable, payments processing, or clinical finance

  • Experience within a clinical research organization (CRO), pharmaceutical company, or healthcare environment preferred

  • Exposure to Clinical Trial Agreements (CTAs), site budgets, or investigator grant payments is advantageous

Educational Qualifications

  • Bachelor’s degree in Finance, Accounting, Business Administration, Commerce, or related field

  • Additional certifications in finance or accounting are beneficial

Core Competencies and Skills

  • Strong attention to detail and financial accuracy

  • Good understanding of investigator payment workflows and clinical budget structures

  • Proficiency in financial systems and Microsoft Excel

  • Strong analytical and reconciliation skills

  • Excellent communication and stakeholder engagement abilities
