Position Summary

The IMS Specialist I administers payments to Investigators and Institutions participating in clinical trials, ensuring compliance with sponsor and organizational requirements. This role involves collaborating with internal teams to confirm funding availability, processing investigator payments, and maintaining accurate records for reporting and audits.


Key Responsibilities

  • Payment Processing

    • Manage investigator payments using CTMS tools (IMPACT, Medidata, Clinpay, etc.).

    • Review data with project managers for accuracy and completeness.

    • Create and process approved grant payment requests, forwarding to A/P as needed.

    • Distribute investigator payments to respective sites.

  • Collaboration & Coordination

    • Facilitate site payments in coordination with Clinical Operations, Project Management, Accounts Payable/Receivable, and Site Contracts teams.

    • Work with regional colleagues to maintain a global view of project funding and payment status.

    • Ensure advance funding from sponsors is received in time for global project payments.

  • Financial Tracking & Compliance

    • Create, maintain, and reconcile MS Excel project grant trackers.

    • Review Clinical Trial Agreements (CTAs) and amendments to ensure compliance with payment terms.

    • Support sponsor invoicing by compiling and creating required financial information.

    • Identify and follow up on invoice discrepancies, overdue payments, and refund requests.

    • Apply correct account and project coding to third-party invoices.

  • Reporting & Audits

    • Prepare project reports for sponsors, operations, accounting, and management.

    • Support Sunshine Act reporting, statutory compliance, monthly close processes, and ad hoc analysis.

    • Assist the Investigator Payments Manager with audits of site payments and sponsor deposits.

  • Other Responsibilities

    • Provide project teams guidance on grants payment processes and system navigation.

    • Work with sponsor systems and applications as required.

    • Minimal travel (up to 25%).
