Role Overview

The Investigator Grant Specialist (IGS) provides support to the project team in managing investigator payments and developing investigator grants using standard systems (e.g., Grant Plan). The role works closely with Project Management and Clinical Operations teams to ensure timely delivery of site budget templates and quarterly site payments, following Novotech/Client SOPs and guidelines.

The ideal candidate is professional, analytical, detail-oriented, and possesses excellent communication and interpersonal skills.


Minimum Qualifications & Experience

  • Experience: 12–36 months in a clinical research organization or equivalent.

  • Education: Bachelor’s degree in Life Sciences or related field.

  • Technical Skills:

    • Experience with Investigator Payment Processes

    • Experience with CTMS/Veeva and Grant Plan

    • Understanding of Subject Visit Tracking (SVT) in CTMS

    • Advanced Excel and PowerPoint skills

  • Other Skills:

    • Analytical and problem-solving abilities

    • Excellent verbal, written communication, and negotiation skills

    • Strong organizational and follow-up skills

    • Experience in pharmaceutical, CRO, or healthcare industry


Key Responsibilities

Investigator Payment Activities

  1. Review, update, and track all payments in CTMS.

  2. Route correspondence and ensure timely assignment of queries.

  3. Escalate payment issues or delays as needed.

  4. Ensure site payments align with visit data; maintain accuracy and efficiency.

  5. Communicate with Project Managers regarding payment inquiries.

  6. Support clinical staff in executing accurate and timely investigator payments per contracts.

  7. Maintain patient visit payment schedules and process site payments.

  8. Review site payment reports for accuracy before processing.

  9. Prepare investigator payment reports for study status meetings.

  10. Ensure study setup and maintenance are aligned with payment processes and audit standards.

  11. Analyze SVT setup requirements based on study type.

  12. Create site SVTs based on CTRA data from CRAs.

  13. Setup master/site-specific SVT templates in CTMS within required timelines.

  14. Follow company processes and Novotech policies; act as a professional ambassador.

Investigator Grant Activities

  1. Develop investigator grants using industry-standard systems.

  2. Review study protocols and collaborate with Project Managers for accurate, complete, and timely grant delivery.

  3. Work on complex projects as assigned.

  4. Provide initial budget estimates as requested by clients.

  5. Apply industry standards and Fair Market Value concepts in budget models.

  6. Communicate with vendors regarding system-related issues.

  7. Manage user access to required systems.

  8. Track finalized budgets and ensure reporting as required.
