Data Acquisition Lead

Position Summary

The Data Acquisition Lead is responsible for leading the acquisition, integration, and quality management of non-CRF (external/vendor) clinical trial data. This role ensures that external clinical data is timely, accurate, traceable, and compliant with study requirements, supporting study delivery, analytics, database lock activities, regulatory inspections, and overall clinical trial success.

The position requires close collaboration with cross-functional study teams, external vendors, and data management stakeholders to ensure efficient data integration, quality oversight, reconciliation, and process optimization throughout the clinical trial lifecycle.


Key Responsibilities

External Data Acquisition & Integration

  • Lead the design, setup, and management of non-CRF clinical trial data sources, including:

    • Central Laboratories

    • Imaging Vendors

    • Wearable Devices

    • Precision Medicine Data

    • Other External Data Sources

  • Ensure seamless integration and compliant ingestion of external data into EDC and other clinical data systems.

  • Maintain complete data traceability throughout the study lifecycle.

  • Support study-specific external data collection strategies and requirements.


Vendor Data Management

  • Define, develop, and maintain vendor data transfer specifications and agreements.

  • Ensure alignment of data transfer requirements with:

    • Study Protocols

    • Clinical Data Standards

    • Study Objectives

    • Downstream Data Requirements

  • Oversee testing and validation of vendor data transfers.

  • Manage production data transfer processes and vendor deliverables.

  • Monitor vendor performance and data quality compliance.


Data Quality & Compliance

  • Ensure timely, accurate, and compliant ingestion of external datasets.

  • Review incoming data for:

    • Accuracy

    • Completeness

    • Consistency

    • Regulatory Compliance

  • Identify and resolve data formatting, mapping, and quality issues.

  • Collaborate with vendors and study teams to address data discrepancies.

  • Maintain data integrity and audit readiness.


Data Reconciliation & Review

  • Lead external data reconciliation activities throughout the study lifecycle.

  • Implement proactive and continuous reconciliation strategies.

  • Identify discrepancies early to prevent downstream delays.

  • Ensure data readiness for analysis and reporting activities.

  • Support ongoing data review and quality control processes.


Issue & Risk Management

  • Manage issue resolution and query handling for external data sources.

  • Troubleshoot:

    • Data Transfer Issues

    • Integration Failures

    • Data Consistency Problems

    • Vendor Data Quality Concerns

  • Escalate critical risks, delays, and quality issues to study leadership and governance teams.

  • Support risk assessment and mitigation planning.


Study Collaboration & Stakeholder Management

  • Partner with global and local cross-functional study teams.

  • Participate in study governance, data review, and operational meetings.

  • Provide expertise on external data acquisition strategies and processes.

  • Collaborate with vendors, data management teams, and study teams to ensure successful study execution.


Database Lock & Inspection Readiness

  • Support database lock planning and execution activities.

  • Ensure external data is complete, reconciled, and inspection-ready.

  • Maintain required documentation and audit trails.

  • Support regulatory inspections and compliance reviews.

  • Ensure adherence to documentation and traceability standards.


Process Improvement & Innovation

  • Drive process improvement initiatives across external data management activities.

  • Identify opportunities for:

    • Automation

    • Standardization

    • Operational Efficiency

    • Scalability Improvements

  • Improve vendor integration processes and data quality outcomes.

  • Contribute to best practices and continuous improvement initiatives.


Leadership & Mentorship

  • Provide guidance and support to junior team members.

  • Promote best practices in external data acquisition and management.

  • Foster collaboration and knowledge sharing across teams.

  • Support capability development within the organization.


Basic Qualifications

  • Bachelor's Degree.

  • 8–15 years of experience in clinical trial execution, clinical operations, clinical data management, or related fields.
