Overview

Optum, in strategic partnership with ProHealth Care, is seeking a Clinical Administrator Coordinator (Per Diem) to support care coordination and administrative operations in Waukesha County, Wisconsin. ProHealth Care has served the region for over a century and is recognized for delivering high-quality, patient-centered healthcare services.

This per diem healthcare administrative role is ideal for professionals with customer service or healthcare administrative experience who are looking to work in a fast-paced hospital or clinical environment. The position supports clinical teams, patients, and providers through referral management, prior authorizations, and utilization management coordination.

Schedule and Work Expectations

This is a per diem position with an expected 15–20 hours per week.

Flexibility is required, including some early evening availability.

Rotating weekend coverage every 4–6 weeks and one holiday shift annually.

Corporate casual dress code required.

Role Summary

The Clinical Administrator Coordinator supports nurses and clinical teams by managing documentation, processing referrals and prior authorizations, and assisting with CMS-required forms. This role also provides in-person and telephonic support to patients and families, ensuring efficient handling of forms, letters, and transportation coordination.

The position requires strong organizational skills, attention to detail, and the ability to perform effectively in a high-volume healthcare environment. While this role does not involve direct clinical care, it plays a critical part in ensuring operational efficiency and patient experience excellence.

Key Responsibilities

Collaborate with nursing teams to obtain and process CMS-required documentation.

Coordinate with hospitals, clinics, facilities, and internal clinical teams to manage service requests from members and providers.

Process incoming and outgoing referrals and prior authorizations, including intake and notification procedures.

Support denials management and utilization management processes, including faxing, scanning, and portal data entry.

Provide in-person and telephonic support to patients and families regarding forms, letters, and transportation arrangements.

Maintain productivity and accuracy in a fast-paced, customer-focused healthcare setting.

Travel within the hospital system as needed (up to 10%).

Required Qualifications

High School Diploma or GED (or higher).

Minimum 2+ years of customer service experience.

Intermediate proficiency in Microsoft Word, Excel, and Outlook.

Valid U.S. driver’s license and access to reliable transportation.

Preferred Qualifications

Associate’s degree.

Experience working within the healthcare industry.

Prior experience in a hospital, physician’s office, or medical clinic setting.

Clerical or administrative support background.

Compensation and Benefits

The hourly pay range for this role is approximately USD 17.98 to 32.12 per hour, based on experience, education, certifications, and local labor market factors.
