Role Overview

ProPharma is seeking a detail-oriented Administrative Assistant to support Drug Safety and Medical Information (MI) operations. This role plays a critical part in ensuring accurate administrative handling of adverse event follow-ups, product quality complaints, and medical information enquiries. The position requires strong organizational skills, process adherence, and the ability to work collaboratively in a regulated healthcare environment.


Key Responsibilities

General Administrative Support

  • Perform routine administrative duties as assigned by management.

  • Professionally answer and route incoming calls on the company’s main telephone line.

  • Provide ad-hoc reception support, including welcoming visitors and managing sign-in procedures.

  • Support office operations such as mail handling, filing, archiving, stationery management, and coordination with filing clerks.

Drug Safety & Follow-Up Services

  • Prepare, type, and format Adverse Event (AE) and Product Quality Complaint (PQC) follow-up correspondence, including letters, emails, and faxes.

  • Assemble and attach required documentation in line with client Working Practices (WPs).

  • Perform quality checks on correspondence and ensure timely submission within defined client timelines.

  • Enter received follow-up information into AE/PQC report forms, conduct quality reviews, and forward reports to clients as per WPs.

  • Accurately track all follow-up activities in client-specific databases.

  • Notify clients of case closures in accordance with agreed procedures.

Quality & Compliance

  • Maintain high-quality standards across all assigned tasks.

  • Comply with ProPharma Standard Operating Procedures (SOPs), Working Instructions (WIs), and client-specific processes.

  • Adhere to health, safety, confidentiality, and data privacy regulations at all times.

  • Handle confidential client and company information in accordance with data protection requirements.


Experience Required

  • 1 to 3 years of experience in an administrative, drug safety, pharmacovigilance support, medical information, or regulated healthcare environment.

  • Experience supporting adverse event reporting, quality documentation, or follow-up tracking is preferred.


Educational Qualifications

  • Bachelor’s degree or diploma in Life Sciences, Pharmacy, Healthcare Administration, Business Administration, or a related field is preferred.


Required Skills & Competencies

  • Strong written and verbal communication skills.

  • High attention to detail and accuracy in documentation.

  • Effective organizational and time-management skills with the ability to prioritize tasks.

  • Ability to follow structured processes and SOP-driven workflows.

  • Professional and courteous telephone manner.

  • Proficiency in Microsoft Office applications.

  • Ability to work collaboratively within a team-oriented environment.

  • Hybrid work is encouraged for employees located within reasonable commuting distance of a ProPharma office, subject to manager agreement.
