Job Summary:

The Corporate Real Estate Services (CRES) Specialist is a highly skilled and proactive employee, committed to creating an optimal work environment. As a key member of our team, the Specialist will manage various responsibilities related to operations, maintenance, and facilities management. This role demands autonomy, strategic thinking, and the ability to tackle complex challenges to ensure a safe, efficient, and enhanced workplace for our employees.

Job Responsibilities:

Facility Operations:

  • Coordinate and supervise advanced facility maintenance tasks, including repairs and management of multifunctional devices, office supplies, water fountains, and coffee machines.

  • Maintain accurate records of maintenance activities, supplier contracts, and compliance documentation, ensuring the highest standards.

  • Conduct comprehensive inspections to proactively identify maintenance needs and potential safety hazards.

  • Develop and manage a comprehensive preventive maintenance schedule for facility equipment and systems.

  • Serve as the primary point of contact for suppliers, overseeing services such as janitorial, pest control, waste removal, and other facility-related services.

Space Management:

  • Play a central role in space planning initiatives, office relocations, furniture layout, and equipment setup.

  • Collaborate with cross-functional teams to meet complex facility needs and validate seating arrangements, storage, and operational requirements with site management.

  • Maintain updated office and floor plans while monitoring space and seating capacity.

Security and Safety Monitoring:

  • Administer badge access systems and enforce security protocols.

  • Contribute to the development and updating of the local business continuity plan, emergency response plan, and facility manual.

  • Lead building evacuations and serve as the point of contact for life safety and security procedures.

Vendor and Financial Management:

  • Assist in processing CRES service invoices and purchase requests.

  • Participate in preparing the budget for assigned locations.

Energy Management and Sustainability:

  • Design and implement advanced recycling programs to reduce waste and improve environmental sustainability.

  • Monitor and maintain energy management strategies to optimize usage while promoting sustainability initiatives within the office.

Other Responsibilities:

  • Lead document governance initiatives (RIG) and coordinate document return and disposal.

  • Maintain and update internal platforms regarding office location information.

  • Act as the main point of contact for landlord and building management relations, addressing facility-related concerns as needed.

  • Supervise others if required.

  • Perform other related work duties as assigned, with minimal travel (up to 25%).

Qualifications:

Qualification Requirements:

  • High school diploma or equivalent education and experience.

  • Substantial experience providing specialized facility support.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams), voicemail, email, and Outlook calendar.

  • Exceptional keyboarding skills and ability to work tactfully and effectively with all levels of employees.

  • Strong verbal, written, interpersonal, and teamwork skills.

  • Essential organizational and prioritization skills to meet tight deadlines.

  • Deep knowledge of regulatory requirements and industry standards related to office operations and maintenance.
