Job Overview

The Trial Vendor Senior Manager is a core member of the Clinical Trial Team (CTT) responsible for end-to-end vendor management across global clinical trials. The role ensures vendor performance, cost efficiency, compliance, and timely delivery of study outcomes within defined quality and budget standards.


Key Responsibilities

A. Vendor Management & Oversight

  • Provide end-to-end oversight of clinical trial vendors from study start-up to close-out

  • Ensure vendor operational readiness across all study phases

  • Manage daily interactions and coordination with external vendors

  • Monitor vendor performance against agreed quality and service level agreements (SLAs)


B. Study Planning & Start-Up Support

  • Collaborate with Study Team Lead and cross-functional teams throughout the study lifecycle

  • Contribute to vendor-related sections of clinical trial protocols

  • Work with Vendor Startup Manager to develop Study Specification Worksheet (SSW) for bidding processes

  • Support vendor selection and feasibility discussions


C. Budgeting & Financial Management

  • Support proposal and budget reviews with procurement teams

  • Contribute to contract negotiations and vendor agreements

  • Manage vendor budgets including:

    • Cost tracking

    • Invoice reconciliation

    • Purchase order (PO) close-out

  • Ensure financial accuracy and cost control throughout the study


D. Contracting & Compliance

  • Assist in drafting and finalizing vendor contract amendments

  • Ensure compliance with operational procedures and regulatory requirements

  • Maintain adherence to study timelines, quality standards, and governance frameworks


E. Performance & Quality Management

  • Monitor vendor service delivery and operational performance

  • Ensure compliance with contractual obligations and study requirements

  • Drive corrective actions for underperformance or deviations

  • Ensure continuous improvement in vendor execution quality


F. Cross-functional Collaboration

  • Work closely with global Clinical Trial Team members

  • Collaborate with procurement, study teams, and vendor management functions

  • Align vendor activities with overall clinical program strategy

  • Ensure effective communication across stakeholders in a matrix environment


Minimum Requirements

  • Advanced experience in clinical trial/study management within pharmaceutical or CRO environments

  • Strong expertise in vendor management (oversight, performance monitoring, service delivery)

  • Proven experience in:

    • Budget management and financial oversight

    • Cost control in clinical studies

  • Strong project management and planning skills

  • Experience working in a matrix global organization

  • Excellent negotiation, stakeholder management, and leadership skills
