Role Overview

The Medical Records (MR) Team Lead oversees the daily operations of the medical records team, ensuring accurate, timely, and compliant management of patient health records. The role involves leadership, training, and collaboration with clinical teams, insurance providers, and management to maintain high-quality service delivery.


Key Responsibilities

Team Leadership and Management:

  • Supervise, mentor, and support the MR team to ensure adherence to standards.

  • Conduct regular team meetings for workflow discussions and team cohesion.

  • Distribute workloads and audit specialists’ work for accuracy.

Record Management:

  • Oversee processing, indexing, and retrieval of medical records.

  • Ensure confidentiality and security of patient information in line with HIPAA.

  • Implement quality control procedures to maintain record integrity.

Compliance and Documentation:

  • Maintain medical records in compliance with legal, regulatory, and accreditation standards.

  • Stay updated on healthcare regulation changes and adjust departmental procedures accordingly.

  • Prepare and maintain audit and compliance documentation.

Training and Development:

  • Develop training programs for new and existing MR Specialists on compliance and best practices.

  • Provide professional development opportunities to enhance team skills.

Collaboration and Communication:

  • Serve as primary point of contact between the MR team and other departments (clinical, billing, management).


Qualifications & Experience

  • Education: Associate’s or Bachelor’s degree in Health Information Management, Medical Records Technology, or related field preferred.

  • Experience: 4–5 years in medical records or health information management, including at least 3 years in a supervisory or leadership role.

  • Certification: RHIA or RHIT preferred.

  • Background in Substance Abuse/Mental Health Treatment with understanding of ASAM criteria and medical necessity standards.

  • Experience managing clinical appeals and interacting with insurance providers.


Skills & Competencies

  • Leadership and team management skills to drive departmental goals.

  • Strong problem-solving and decision-making capabilities.

  • Advanced proficiency with EMR systems (Kipu, ZenCharts, BestNotes, SunWave).

  • Organizational skills with ability to manage multiple priorities.

  • Excellent verbal and written communication skills.

  • Knowledge of HIPAA and medical record-keeping standards.

  • Ability to analyze and improve team workflows and processes.


Additional Preferred Experience

  • Leadership experience in a behavioral health setting.

  • Knowledge of operations in psychiatric or behavioral healthcare facilities (Detox, RTC, PHP, IOP, OP, Aftercare).

  • Proven track record of implementing process improvements to enhance team efficiency and effectiveness.
