Job Overview

The Medical Records Specialist at Zealie is responsible for managing and maintaining patient medical records to ensure accuracy, completeness, and confidentiality. The role involves organizing and retrieving medical documentation, supporting billing processes, and ensuring compliance with healthcare regulations. The specialist collaborates with healthcare providers, administrative staff, and insurance carriers to facilitate proper medical record handling and support efficient healthcare delivery.


Key Responsibilities

  • Ensure medical records are provided accurately and on time to relevant stakeholders.

  • Retrieve and compile patient records from multiple Electronic Medical Record (EMR) systems.

  • Follow up on medical record submissions to confirm successful receipt.

  • Verify and review patient demographics, insurance information, and billing data for accuracy.

  • Cross-check information with billing and authorization systems before submitting records.

  • Work with insurance carriers to provide required documentation and resolve issues.

  • Maintain and organize patient file documentation in electronic and paper formats.

  • Record detailed follow-up notes and account updates in internal systems (e.g., Zealie Zion).

  • Demonstrate strong customer service and communication skills when interacting with internal teams and external stakeholders.

  • Maintain strict confidentiality of patient information in accordance with healthcare privacy regulations.

  • Assist with additional departmental duties such as claims follow-up and documentation review.


Required Skills & Competencies

  • Strong attention to detail and organizational skills.

  • Proficiency in Electronic Health Record (EHR) systems.

  • Knowledge of medical terminology and healthcare regulations.

  • Understanding of medical coding and billing processes.

  • Ability to manage sensitive patient information with discretion.

  • Experience with payer portals and insurance documentation processes.

  • Strong communication and interpersonal skills.


Preferred Skills

  • Experience working in behavioral health billing environments.

  • Knowledge of the substance abuse and mental health treatment industry.

  • Experience in Revenue Cycle Management (RCM).


Educational Requirements

  • High School Diploma or equivalent (required).

  • Associate’s degree in Health Information Management or a related field (preferred).


Experience Requirements

  • Experience working with EHR systems and medical billing processes.

  • Familiarity with medical records management, documentation review, and record scanning
