Job Summary

The Medical Records Appeals Specialist is responsible for reviewing, organizing, and maintaining patient medical records and managing insurance appeals. This role ensures records are accurate, complete, compliant with healthcare regulations, and processed efficiently. The specialist will work closely with insurance companies, healthcare providers, and internal teams to resolve discrepancies in claims, authorizations, and billing codes.

This is a remote position offering exposure to electronic health record (EHR) systems, payer portals, and healthcare compliance processes.


Key Responsibilities

  • Review patient records for accuracy, completeness, and compliance with HIPAA and other regulatory standards

  • Prepare and submit appeals, external reviews, and regulatory complaints as required

  • Cross-reference billing and authorization data to ensure correct submissions

  • Enter, update, and analyze data in EHR systems, Google Sheets, and payer portals

  • Maintain regular communication with team leads, managers, healthcare providers, and insurance representatives regarding appeals, discrepancies, and claim adjustments

  • Monitor daily workflow and meet or exceed productivity goals for appeals processed

  • Respond promptly to emails, calls, and voicemails related to accounts and claims

  • Maintain strict confidentiality of all patient records and sensitive information

  • Identify discrepancies in coding, authorizations, and documentation, and escalate issues when necessary

  • Perform other duties as assigned to support team and operational goals


Required Skills & Competencies

  • Strong experience in Accounts Receivable (AR) and medical appeals

  • Excellent organizational, analytical, and critical thinking skills

  • Attention to detail and commitment to accuracy in documentation and submissions

  • Effective written and verbal communication skills

  • Proficiency with EHR systems, payer portals, and standard office software (Google Workspace, Google Sheets, Google Docs)

  • Ability to manage multiple tasks independently and in a collaborative team environment

  • Knowledge of behavioral health billing and the Substance Abuse/Mental Health industry is a plus


Qualifications

  • High School Diploma or equivalent required; Associate’s degree or higher in Health Information Management, Medical Records, or related field preferred

  • 1–3 years of experience in medical records, appeals processing, or health information management

  • Experience in behavioral health billing or working with EHR systems is highly desirable
